The problem

What was broken before

  • A unit's status lived in five people's heads at once. Two agents could sell the same apartment, and the company found out at contract stage.

  • Rent, arrears, commissions and owner statements were reconciled by hand in spreadsheets — and never quite agreed with each other.

  • Landlords, tenants and contractors all phoned the office for answers the office had to go and look up.

  • Nobody could say which portal actually produced deals, or what being slow to answer a lead was costing.

Our solution

What we built

  • One authoritative asset. A unit's status is a state machine, not a column — and reserving one takes a database row lock, so two agents racing for the same apartment end with exactly one winner and one clear refusal.

  • Money as integers, everywhere. Commission splits use largest-remainder rounding, so a three-way split always reconciles to the cent — and an owner statement always balances.

  • Three external portals — landlord, tenant, vendor — each seeing only their own data. No portal query takes an id from a URL at all; the session is the only input, so there is nothing to tamper with.

  • A revenue engine that puts a dollar figure on speed-to-lead, renewals at risk, mispriced stock and cross-sell — and shows its working.

The Stack Plan

Pipeline with a live forecast

Drag a deal and the weighted forecast recalculates before the server answers. Probability comes from the stage, never from an optimistic agent.

Speed-to-lead

The inbox sorts oldest-first, because the lead waiting two hours is the one losing money. Median response time is measured to the minute.

The rent roll

Every tenancy, every balance, virtualized to 60fps. Arrears are derived from the invoices — never a stored number that can drift.

Maintenance with SLA clocks

Tenant raises a ticket, the clock starts, breaches escalate. Work orders, quotes and vendor sign-off across three portals.

Revenue engine

Four levers — speed, renewals, pricing, cross-sell — each answering 'how many dollars is this worth?', summed into one number.
